Avoiding Mistakes in the Printed Word – and the Costs of Putting Them Right

Once the print run has started, it's too late to correct errors. Opening your first box of 5,000 documents and spotting a mistake is no fun – and costly to correct. But most people with experience of arranging printing can remember a time when they discovered a glaring error that they couldn't believe they'd missed in the draft they'd given the printer.

It's not surprising, given that printing is often done to tight deadlines – but if the documents aren't right, you've wasted time and money and you've got a problem on your hands.

Some problems are more subtle. When you look at the writing, it's all correct. But is it doing its job properly? Have you persuaded your readers to take any action, or is the document already on its way to the recycling sack?

A lot is at stake when you get material printed. The credibility of your company and your relationship with customers and potential customers can be damaged. If information is wrong, you'll lose sales, and if you fail to get your message across, your time and money has been wasted.

What not to do

  • Don't make language mistakes. Royal Mail research shows that 74% of customers don't trust businesses that use poor spelling and grammar, and 30% would not do business with companies that made these mistakes.

Proofreading is critical. Check absolutely every detail. Proofread at least twice – first for content and sense (read aloud), and second for spelling, grammar and punctuation. Don't rely on your computer's spellchecker – get another human being to check it too. If you're not confident about your spelling and grammar, find someone who is – colleague, friend or family member.

Once you sign the proof off, you're confirming that you are satisfied with it – and if you spot a problem with the finalised versions that was showing in the proof copy, you'll have no grounds for complaint.

  • Don't miss out important information. It seems obvious, but it's surprisingly common for flyers and other printed material to lack factual details. Whether you're stressed out or excited by the thought of having to come up with paragraphs of sales text, it's all too easy to leave out the basic information, intending to add it in at the end. And then forget. So, check that you have included everything the reader needs to know.
  • Don't ignore the need for a final proof. When you're in a rush, and you're confident that what you sent through was fine, it's tempting to tell the printer to just get on with the job. Some printers insist on a final proof sign off, but others don't. Whether it's a business card or a glossy annual report, get the proof and make the time to check it properly.
  • Don't produce business cards that don't tell people what you do. Just because you know what your business is all about doesn't mean everyone else does. It's important that your business cards make it clear to everyone what you do. Don't assume that just because you've talked to someone they will remember you later particularly if the conversation was part of a heavy networking session.
Don't rely on a catchy strapline such as "building performance" or "making change happen". Come up with a simple statement that really tells people what you're all about, and your card has got far more chance of being kept and used.
  • Don't just test it only on people already involved. Because you and your colleagues are so closely involved with your business, it's often hard to see how others will perceive your printed material. Once you've got something that you're happy with, ask people outside the business for their comments. Does it work for them? And explain that you really need them to be honest!
If you're planning a big mailing, or an ongoing promotion, consider doing several different versions of the document, and tracking the success of each. You can then decide which version you continue with in the future. Even small variations in, for example, the text of a direct mail letter, can make a big difference to success rates.
  • Don't forget to update information. Often, you will have documents that you send regularly for reprint. It's all too easy just to ask for the same again – then find that a detail is out of date. Make sure that you proof every document, whether new or old.
  • Don't write ineffective copy. Whatever your document, you're paying to have it printed because you want to get a message across. Unless that message is communicated clearly, concisely, and effectively, you've wasted your money. To do this involves much more than just being able to write correct English.

What is Waterless?

Waterless printing is an offset lithographic printing process that eliminates the water or dampening system used in conventional printing. It uses silicone rubber coated printing plates and specially formulated inks, and typically a temperature-control system is integrated into waterless presses.

In contrast to conventional printing, which is a chemical process that relies on isopropyl alcohol or substitutes, waterless printing is a mechanical process. The waterless press operator is not challenged with balancing the delicate relationship between ink and water. Waterless printing requires only an appropriate temperature range for transferring ink to substrate.

The waterless process offers several advantages vs. conventional printing, including better print quality measured in terms of color consistency, color saturation, detail reproduction and overall sharpness.

Waterless also improves productivity by reducing makeready time and simplifying press operation
Printing job times are shortened by 9%
Productivity gain through increased capacity
Makereadies are 18% faster than with conventional printing.

The environmental benefits of waterless printing have captured the attention of printers and print buyers alike. The process eliminates fountain solution, which eliminates the consumption of water and significantly reduces the release of volatile organic compounds (VOCs) into the atmosphere vs. conventional printing.

60% of VOCs in offset printing come from washing solvent, with ink and fountain solution contributing 40%. A reduction in washing solvent VOCs is critical for small to mid-size printers to make meaningful VOC reductions. Waterless printing makes that possible.

Waterless operations using water washable ink systems are pushing the low-VOC scenario even further, with the potential to reduce VOC emissions up to 95% vs. conventional printing.

Reducing or eliminating VOCs benefits not only the planet, but also the people working in the pressroom. These chemicals demonstrate an array of health effects, ranging from eye irritation to leukemia. The Department of Health and Human Services (DHHS) has determined that benzene, as an example, causes cancer in humans.

The critical need for water conservation, which is gradually gaining awareness even in developed countries, is a highly attractive environmental benefit of waterless printing. In a BBC report, the United Nations warned that more than 2.7 billion people will face severe water shortages by 2025 if the world continues to consume water at the current rate.

Printing has historically been a leading industrial consumer of water. According to data supplied by JL Lennard, a single five-six-color, 40 inch (102 cm) conventional printing press operating only one shift can use 3,175 gallons (12,019 liters) of water per year. An eight-unit 38” (96.5 cm) heatset web press will generate around 23,810 gallons (90,131 liters) per year. Some conventional web presses require more than 25,000 gallons monthly, which is enough water to overflow a swimming pool measuring 18 x 36 feet.

Waterless printing addresses the dilemma. A leading waterless printer has recently calculated that printing 10,000 copies of a simple direct-mail flyer using waterless printing and recycled paper would save enough water to support a human being for a year.

The final environmental advantage of waterless printing is reduced paper waste. Because waterless presses come up to color and register so much faster than conventional equipment, paper savings of 30% to 40% have been reported. Consequently, the burden on the waste stream is lessened—and fewer trees need to fall.
The combination of natural resource conservation, reduced air and water pollution, high print quality, productivity gains, and employee wellness position waterless printing as a robust and appropriate technology for the twenty-first century.

Going the extra mile!

Why do so many people do just what they need to do to "get by" in life rather than go the extra mile?

Some say it is because people are generally lazy and some say it is because people are unwilling to give something for nothing. However, more often it is because people are just unaware of the chain reaction of positive events that come from going the extra mile.  If everyone knew the great effects this gesture has, everyone would take the time to go the extra mile.

Going the extra mile is simply doing more than you are asked or expected to do.  A recent example of this happened to us just last week. We had pushed through another 'rush' job for one of our clients and delivery was needed 'yesterday' as usual, as the event the printed items were intended for was on Saturday (we received the order on Thursday!!).

The items were printed and despatched for delivery on the Friday, our regular courier put them in the system and off they went with the national courier he uses. A frantic call from our client on Friday afternoon and it was apparent that something had gone wrong. Our guaranteed 'next day' delivery had failed. The delivery driver at the other end was a temporary agency driver and didn't know the area and ran out of time to make his delivery!! Panic!!!

A quick call to Brian at AOG Worldwide to see what could be done and instead of the usual shrugging of shoulders and passing the blame conversation, he contacted a company local to our client and arranged for them to go to the delivery depot, take the package off the lorry of the national courier and deliver it direct to our client. The package arrived safely at 7.50pm on Friday night.

One disaster averted, one client very happy and one gold star for our courier company, who went the extra mile to sort a problem that really wasn't his fault.

So, what's the difference between RGB & CMYK?

When supplying files for full colour printing, it is important that you supply your artwork in the correct mode or colour space. Many software programs give you the choice to work in either RGB mode or CMYK mode, CMYK mode is the correct colour space for full colour printing.

RGB stands for Red, Green and Blue which are the primary colours of light. Scanners and digital cameras generally create images using combinations of the three RGB colours. When you save a scanned image or photo taken with your digital camera, it will normally be saved in RGB mode unless otherwise specified. Artwork, images and photographs created in RGB mode are fine for use on websites, however, they cannot be used for printing on professional litho print presses. We can use RGB images for digital printing as the software that drives the digital press converts the images automatically to CMYK with relatively little loss in colour density.

CMYK - Printing presses print full colour images using a different set of colours to RGB. Generally, full colour images are created using the primary colours of pigment: Cyan (blue), Magenta (red), Yellow and Black, otherwise known as "CMYK printing" or "4 colour process", black is designated the letter "K" to avoid confusion with "B" for blue. Because the inks used are translucent they can be overprinted and combined in a variety of different proportions to produce a wide range of colours. In theory an overprint of all 3 process colours Cyan, Magenta and Yellow produces the appearance of black, however, in reality this is a muddy brown, for this reason black is used as the fourth printing ink.
